1. Who we are
Alert Hire is a candidate screening service run by Alert AI Pty Ltd (ABN 12 700 646 153), an Australian company. In this policy "we", "us" and "our" mean Alert AI Pty Ltd.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why, where it is kept, who sees it and how to ask us about it.
2. Who this policy covers
Two groups of people meet Alert Hire, and the policy is different for each.
- Agency users: the recruiters and administrators at the recruitment agencies that subscribe to Alert Hire. They sign in and run the screening.
- Candidates: the people an agency screens. A recruiter uploads a candidate's CV, and Alert Hire may send the candidate a link to a short written interview. Candidates do not need an account.
The agency decides which candidates to screen and what happens with the results. We provide the software and process candidate information on the agency's instructions. If you are a candidate and want to know why an agency holds your details, the agency is the first place to ask, and we will help them answer.
3. What we collect about candidates
- Contact details: your name, email address and, if the agency provides it, your phone number and location.
- Your CV: the file the agency uploads, the text we read out of it, and the contact details and work history we take from that text.
- Interview answers: what you type in response to each question, and the time you opened, started and finished.
- Assessments: scores, short summaries and quoted evidence that our software produces from your CV and your answers, and the decision the recruiter records.
- Technical records: the emails we sent you and whether they bounced, and ordinary server logs kept for security.
We do not collect government identifiers, health information or other sensitive information on purpose. If a CV or an answer contains something like that, it is stored with the rest of the document and treated with the same care. We do not use it to score you.
4. What we collect about agency users
- Your name, work email address and role in the workspace.
- The jobs, templates, settings and decisions you create in the app.
- Billing details: the name, billing address and tax identifier of the agency, and the email address invoices go to. Card details go to Stripe and never reach us.
- Sign-in records and ordinary server logs.
- If you ask for a demo on our website: your name, work email, agency, which ATS you use and anything you tell us, used to reply to you and set up the demo.
5. How we use it
- To run the screening: read a CV, send an interview invitation and reminders, ask the questions, score the answers and show the recruiter a report.
- To run the service: sign people in, keep workspaces separate, bill the agency, send the emails the app needs to send, and find and fix faults.
- To keep the service safe: detect misuse, keep backups, and respond to security incidents.
- To improve the service, using aggregate figures that do not identify anyone.
We do not sell personal information, and we do not use candidate CVs or answers to train AI models.
6. Automated assessment and AI
Alert Hire uses a large language model to read CVs, write interview questions from a job ad, ask follow-up questions and score answers against the competencies the agency set. Every invitation and every interview says plainly that an AI assistant is involved.
The scores are decision support for a human recruiter. The recruiter reads the report, sees the evidence behind each score and records the decision. An agency can set a rule that automatically decides which screened candidates receive an interview link, based on the CV score. Whether a candidate goes forward in a recruitment is decided by the agency, not by Alert Hire.
A candidate can opt out at any time by choosing "I'd rather not" on the interview page. The recruiter is told, nothing more is sent, and the answers already given are kept only so the recruiter can see the candidate declined.
If a candidate believes an assessment is wrong, they can ask the agency to review it. Depending on the agency's settings, declined candidates can also ask for a plain-language summary of the reasons.
7. Where your information is stored
Candidate records, CVs, answers and scores are stored in a database and file store hosted in Sydney, Australia. Backups are kept on servers in Australia.
Some processing happens with providers outside Australia, and we disclose the minimum needed for that step:
- Anthropic (United States) provides the AI model that reads CVs and scores answers. The text of the CV or the answers is sent for that call and is not used by Anthropic to train models under our agreement with them.
- Resend (United States) delivers the emails we send: the candidate's name and email address, and the text of the message.
- Stripe (United States) handles subscription billing for agencies. Candidates' details never go to Stripe.
- Sentry (United States) receives error reports when something breaks. Reports are stripped of candidate text where we can, but may include a name or email address.
- Vercel serves the web app from Sydney. Requests may pass through its global network.
By using Alert Hire, agencies agree to these overseas disclosures. We choose providers that commit to industry-standard security and we do not send more than the step needs.
8. How long we keep it
CV files and the text read out of them are deleted automatically after a period each agency sets, between 3 and 24 months from upload. Interview answers, scores and reports are kept while the agency is a customer, so its team can refer back to them, and are removed within 90 days of the subscription ending. Aggregate figures that do not identify anyone (for example, how many candidates were screened in a month) are kept.

Interview links expire on the date shown in the invitation. Agency user accounts are kept while the agency subscribes, and removed within 90 days of the subscription ending unless the law requires us to keep a record for longer, for example tax records.
9. Security
Data is encrypted in transit and at rest. Each agency's workspace is separated from every other at the database level. CV files sit in a private store that is only reached through short-lived signed links. Interview links carry a signed token, and only a hash of it is stored. Access to production systems is limited to the people who run the service, and every change to the database goes through reviewed migrations.
No system is perfectly secure. If we become aware of a data breach that is likely to result in serious harm, we will notify the affected agency, the people affected and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.
10. Your rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. If you are a candidate, you can also ask the agency that screened you, and we will act on their instruction.
Write to admin@alertai.com.au. We will reply within 30 days. We may need to confirm who you are before we release anything. If we cannot do what you ask, for example because an agency needs the record for a legal reason, we will tell you why.
If you are unhappy with how we handled your request, tell us and we will try to fix it. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
11. Cookies
The app uses cookies only to keep you signed in. The candidate interview pages set no cookies and are marked so that search engines do not index them. We do not use advertising or tracking cookies.
12. Changes to this policy
We will update this policy when the service changes. The date at the top says when it was last changed. Agencies are told by email about any change that affects how candidate data is handled. This version is effective from 10 September 2026.
