You applied for a job and heard from Alert Hire. Here is what that means.
The plain-language version of what happens to your application, written for candidates. The formal version is our privacy policy.
Who is responsible for your application
The recruitment agency you applied to. They hold your CV and details, they decide which candidates to screen and what the role requires, and they make every decision about whether you go forward. Alert Hire is software the agency uses. Every invitation and every interview says plainly that an AI assistant is involved and which agency it is working for. If you have a question about the job or your application, the agency is the place to ask, and we will help them answer.
What Alert Hire holds about you
- Your name and email address, and your phone number and location if the agency provided them.
- Your CV: the file the agency uploaded, the text read out of it, and the work history and contact details taken from that text.
- Your interview answers, if you did the written interview, and the times you opened, started and finished it.
- What the software produced: scores, short summaries, the evidence it quoted from your CV and answers, and the decision the recruiter recorded.
- Delivery records for the emails we sent you, and ordinary server logs kept for security.
We do not collect health information, government identifiers or other sensitive information on purpose. If your CV or an answer contains something like that, it is stored with the rest of the document, treated with the same care, and not used to score you.
What the AI does
- Reads and scores your CV against the criteria the agency set for the role, quoting the evidence behind each score so the recruiter can check it.
- May invite you to a short written interview. The agency sets a rule for who is invited. If you are, you receive an email with a link. You answer in your own words and your own time, up to the expiry date shown in the invitation. There is no timer on the questions.
- Asks follow-up questions where an answer needs more detail, then scores your answers and writes a report for the recruiter.
What the AI does not do
- It does not decide whether you go forward. A recruiter at the agency reads the report, sees the evidence behind each score, and records the decision.
- It does not pretend to be a person. The invitation and the interview both say an AI assistant is involved.
- It does not use your CV or your answers to train AI models, and neither does the AI provider we use, under our agreement with them.
- It does not sell your information or use it to market to you.
If you would rather not
Choose "I'd rather not" on the interview page. The recruiter is told, nothing more is sent to you, and any answers you already gave are kept only so the recruiter can see that you declined. Declining the written interview does not remove you from the agency's process; the recruiter decides what happens next, as they would for any candidate.
If you think an assessment is wrong
Ask the agency to review it. The recruiter can see the evidence behind every score and is the person who makes the decision. Depending on the agency's settings, candidates who are not taken forward can also ask for a plain-language summary of the reasons.
Where your information is stored, and for how long
Your records, CV, answers and scores are stored in a database and file store hosted in Sydney, Australia, encrypted, with backups kept in Australia. A small number of overseas providers handle single steps: the AI model that reads CVs and scores answers is provided by Anthropic in the United States, which does not use the text to train models under our agreement, and the emails we send are delivered by Resend, also in the United States. The privacy policy lists every provider.
The agency sets how long your data is kept, between 3 and 24 months from when the job is closed. After that your CV, the extracted text, your answers, the scores and the summaries are deleted automatically. You can ask the agency, or us, to delete them sooner.
Your rights
You can ask for a copy of the personal information held about you, ask for it to be corrected, or ask for it to be deleted. The quickest route is the agency you applied to, because they hold the full application and we act on their instruction. You can also email us at admin@alertai.com.au with "Candidate data" in the subject; we reply within 30 days and may need to confirm who you are first. If you think your information has been mishandled, the privacy policy explains how to complain, including to the Office of the Australian Information Commissioner.
Cookies and search engines
The interview pages set no cookies and are marked so that search engines do not index them. Nothing about your interview is public.
Messages you did not expect
Alert Hire only contacts people an agency has entered as candidates for a role. If you receive a message claiming to be from Alert Hire about a job you know nothing about, do not click the link, and forward it to admin@alertai.com.au so we can look into it.
